Japan Family Reunion Visa Process — Invitation from Japanese Resident

For Nepali citizens who have family members legally residing in Japan—such as a husband, wife, or parent holding a valid long-term visa (Work, Student, Engineer, Skilled Labor, or Permanent Resident)—the Japan Family Reunion Visa provides an opportunity to reunite and live together in Japan. This visa, often categorized under the “Dependent” or “Family Stay” visa, allows close family members to stay in Japan for an extended period. The process requires the inviting family member in Japan to act as a sponsor and the applicant in Nepal to submit verified documents through the Embassy of Japan or VFS Kathmandu.
The first and most crucial step is the Certificate of Eligibility (COE) application, which must be completed by the family member living in Japan. The sponsor (Japanese resident) must apply at the local Immigration Services Bureaufor the COE under the “Dependent” category. To apply, the sponsor must submit several key documents, including a residence card, passport copy, proof of income or employment certificate, tax payment certificate, and a residence certificate (Juminhyo) showing the address and family composition. Additionally, relationship documentssuch as a marriage certificate (for spouse) or birth certificate (for child) are required to verify kinship. If the sponsor is a Japanese citizen or permanent resident, a Family Register (Koseki Tohon) is also necessary. The Immigration Office reviews these documents to ensure that the sponsor has adequate financial stability and housing capacity to support dependents. Once approved, the COE is sent to Nepal—either in physical or digital form.
After receiving the COE, the applicant in Nepal must prepare all required documents for the visa submission. This includes a valid passport, a visa application form filled in English or Japanese, a recent color photograph (45×35 mm), and the original COE with a photocopy. The applicant must also include relationship proof, translated certificates, and the sponsor’s residence card copy, employment certificate, and tax record. All Nepali documents must be officially translated into English or Japanese, and details like names, dates, and addresses must match perfectly across all documents. The Embassy may reject or delay processing if any inconsistencies are found.
Once all documents are complete, the applicant must schedule an appointment at the VFS Japan Visa Application Centre in Chhaya Center, Thamel, Kathmandu, or directly at the Embassy of Japan if required. At submission, the applicant must pay the visa and service fees and provide original documents along with clear copies. The VFS staff or embassy officer verifies the documents and forwards the application to the Japanese consular section for review. The typical processing time for a Japan Family Reunion Visa is 5–7 working days, but it may extend if further verification or interviews are needed.
Upon approval, the applicant’s passport is stamped with the Dependent Visa, allowing entry into Japan. After arrival at major airports like Narita, Haneda, or Kansai, the Japanese Immigration Office issues a Residence Card (Zairyu Card), which serves as the official identification document in Japan. Within 14 days of moving into a Japanese address, the dependent must register their residence at the local municipal office. Although the dependent visa primarily allows family stay, limited part-time work (up to 28 hours per week) can be done by applying for permission to engage in other activities from the local immigration office. It is also essential to renew the visa before expiration and comply with Japanese immigration laws to maintain legal residency.
