Travelers’ Checklist: Before You Submit Your China Visa Application (Nepal)

Before submitting your China visa application in Nepal, it’s important to carefully review every document and detail. The Chinese Embassy and the Chinese Visa Application Service Center (CVASC) in Kathmandu have become stricter under the new online system introduced on June 25, 2025, and even minor errors can cause delays or outright rejection. By following a thorough checklist, Nepali travelers can ensure their applications are processed smoothly and without unnecessary complications.

First, make sure your passport is valid for at least six months beyond your intended travel date and contains at least two blank pages. The passport must be clean, undamaged, and clearly legible. Torn, stained, or overly worn passports are often rejected at the submission desk. The Embassy recommends renewing your passport in advance if its validity is close to expiry.

Next, check that your online visa form is correctly filled out on the official portal https://www.visaforchina.cn/KTM3_EN/qianzhengyewu. Every field—name, date of birth, occupation, education, and address—must exactly match the details in your passport. The Chinese Embassy in Nepal has reported that inaccurate or incomplete forms are among the top causes of application delays. After completing the form online, print it, sign it, and bring the physical copy along with the confirmation receipt (“Visa Application Certificate”) when visiting CVASC.

Then, prepare clear and high-quality scanned copies of all required documents. This includes your passport data page, photograph, invitation letter (if applicable), itinerary, and financial statements. Photos should be recent, taken against a plain white background, and without shadows or reflections. Low-resolution or over-exposed photos are a common reason for rejection during the online review.

Make sure your flight bookings, hotel reservations, and travel itinerary are consistent with your visa form. The Embassy cross-checks your declared travel dates and destinations against your uploaded documents. If you’re applying for a business visa, your itinerary and invitation letter should both include the same meeting dates and cities. For tourism visas, make sure the cities listed on your hotel bookings align with your travel plan.

If you are submitting a business or student visa, the invitation letter is crucial. It must clearly mention your full name, passport number, visit purpose, entry and exit dates, and inviter’s details (name, address, phone number, and company stamp). Any mismatch between the invitation and your application can cause the entire submission to be returned for correction. Always double-check that the inviting company’s name matches your supporting documents, including the itinerary and meeting schedule.

Also, prepare financial documents that demonstrate your ability to cover your stay in China. For tourists, a stamped bank statement for the past three months is generally sufficient. Business travelers may also include company sponsorship letters or proof of financial backing from their employer. Weak financial evidence may lead to the Embassy requesting further proof or holding your application.

Before you visit the CVASC in Kathmandu, confirm you’ve received your Visa Application Certificate via email from the online portal. Without this confirmation, you cannot submit your passport. Bring all your original documents and one photocopy of each. Fingerprint collection and payment (cash or QR) will be completed on-site.

Finally, remember that you must be physically present in Nepal during the final submission. Even if you started your application from abroad, the Chinese Embassy requires applicants to enter Nepal and upload a valid Nepali visa and entry stamp before proceeding. This step is mandatory and non-negotiable.

Double-check every file before submission: your signed form, passport, visa photo, invitation, flight and hotel confirmations, bank statement, and previous visa copies. Missing or mismatched items will likely result in rejection or return for correction, wasting valuable time.
