Hong Kong Conference Visa for Nepali Delegates – Invitation Letter & Sponsor Rules (2025)

Nepali citizens who plan to attend international conferences, business summits, academic events, or trade conventions in the Hong Kong Special Administrative Region (HKSAR) must obtain a Visit/Conference Visa or Entry Permit before traveling. Since Nepal is not among Hong Kong’s visa-exempt countries, all Nepali delegates must apply in advance through the official online visa application portal of the Hong Kong Immigration Department.

According to the Immigration Department’s official guidelines, a Conference Visa is categorized under the Visit Visa/Entry Permit scheme. It is issued for the purpose of attending or speaking at international conferences, seminars, or exhibitions, and is valid for a short stay only. This visa does not authorize employment, business operations, or paid work in Hong Kong.

To qualify for this visa, the applicant’s bona fides must not be in doubt, they must have sufficient financial resourcesto cover their stay without working, and hold a valid onward or return ticket. Delegates are also required to provide a formal invitation letter from the conference organizer or hosting institution in Hong Kong, which clearly mentions the applicant’s name, passport details, conference title, dates, and venue.

A local sponsor is not mandatory but highly recommended. If provided, the sponsor must be an individual aged 18 or above or a registered company/organization in Hong Kong. The sponsor’s letter helps the Immigration Department verify the applicant’s identity and the authenticity of the invitation. Sponsors are responsible for ensuring that the applicant complies with Hong Kong’s visa regulations during the stay.

Documents Required for Hong Kong Conference Visa:

  • Valid passport (minimum six months’ validity)

  • Recent passport-size photograph

  • Completed application form ID 1003A

  • Sponsor form ID 1003B (if applicable)

  • Conference invitation letter from organizer in Hong Kong

  • Employer or institution letter from Nepal confirming participation

  • Proof of financial means (recent bank statements)

  • Confirmed flight ticket and hotel/accommodation details

  • Proof of registration or event pass (if applicable)

All documents must be uploaded in JPEG, PDF, GIF, PNG, or TIF format (each file under 5 MB).

Processing & Payment:

After online submission, an acknowledgement email is sent within 7 working days. Processing usually takes around 4 weeks after all documents are received. If no update is received within 10 days, applicants can contact (+852) 2824 6111 or [email protected]. Once the application is approved, a payment link is issued via email. Payment can be made online via GovHK, FPS, PPS, or credit card, after which the e-Visa can be downloaded or printed. Delegates must present both their passport and e-Visa (digital or printed) at immigration upon arrival.
