How to Apply Japan Transit Visa from Nepal — Step-by-Step Guide

For Nepali travelers connecting through Japan to another country, obtaining a Japan Transit Visa is essential if you need to leave the airport’s international transit area, change terminals, or stay overnight between connecting flights. Since Nepal is not on Japan’s visa-free list, most travelers must apply in advance via VFS Japan Visa Application Centre in Kathmandu. Below is a detailed, step-by-step guide on how to apply.

The first step is to confirm whether you actually need a transit visa. If your connecting flight is from the same terminal and you don’t leave the international area, you might not need one. But if your route includes Narita–Haneda, Kansai–Itami, or any airport change, or if your luggage needs rechecking, a transit visa becomes mandatory.

Next, visit the official VFS Japan (Nepal) website and schedule an appointment under the Transit Visa category. All visa applications for Japan — including transit, business, and tourist — are handled exclusively by VFS Global Japan, Kathmandu, not directly by the Embassy.

Then, prepare the required documents, ensuring each is clear and complete:

  • Valid passport (minimum six months validity)

  • Japan Visa Application Form (downloadable from Japan’s MOFA site)

  • Recent photo (45×35 mm, white background, taken within 6 months)

  • Confirmed onward flight ticket showing your departure from Japan

  • Visa or entry permit for your destination country (if applicable)

  • Cover letter explaining your transit route and purpose

  • Proof of baggage check-through (if available)

  • Financial statement or employment letter (if requested by VFS)

On your appointment day, visit the VFS Japan Visa Application Centre, located at 3rd Floor, Chhaya Center, Thamel, Kathmandu. Submit your documents, pay the visa fee (around ¥700 ≈ NPR 600) plus the VFS service charge (approx. NPR 1,000–2,000), and provide biometric or signature as instructed.

Processing usually takes five to six working days from the next business day after submission. However, it may take longer if extra verification or Embassy review is required. VFS will notify you when your passport is ready for collection. Always verify your visa sticker for validity (usually 15 days), entry type (single or double), and expiry date (within 3 months of issue).

During travel, carry your passport with visa, flight tickets, and supporting documents — airline staff may check before boarding. If your luggage or route changes during travel, ensure you stay within visa validity.
