How to Apply for Japan Business Visa via e-Visa Portal from Nepal

In 2025, Japan introduced its official e-Visa (electronic visa) system, which allows applicants from certain countries to apply online for a short-term single-entry tourist visa. However, as of now, the Japan e-Visa system is not available for Business, Meeting, or Conference visas. Nepali citizens traveling to Japan for business purposes must still apply physically via the VFS Japan Visa Application Centre in Kathmandu. Despite that, Japan’s Ministry of Foreign Affairs (MOFA) has indicated plans to expand the e-Visa service to include short-term business travelers in the future, which would greatly simplify the process for Nepali applicants.
If business visas become eligible under Japan’s e-Visa system in the coming months, the process will closely resemble the current e-Visa process for tourists, which is already being used in countries like the Philippines, India, and Singapore. The step-by-step process would be as follows:
First, applicants would visit the official Japan e-Visa portal at https://www.evisa.mofa.go.jp and create an accountby registering their email and verifying personal details. After logging in, you would fill out the online visa application form, which includes your full name, passport details, purpose of travel (business meeting or conference), intended travel dates, itinerary, and sponsor information. Next, you would upload scanned copies of necessary documents — including your passport, recent photograph, invitation letter from the Japanese host company, itinerary, and financial proof such as a 3–6 month bank statement and a business registration certificate from Nepal.
Once all documents are uploaded, the visa fee payment would be made online using an international credit or debit card. After successful payment, your e-Visa application would enter the processing stage, typically taking about 5–7 working days for review. During this period, the Embassy of Japan may contact the Japanese host company or request clarification on your business purpose. Once approved, you would receive a Visa Issuance Notice or a QR code via email. This notice serves as your visa confirmation, and you would show it digitally (on a mobile device) at airline check-in and upon arrival in Japan.
Unlike traditional paper visas, the e-Visa is electronically linked to your passport, eliminating the need for a physical visa sticker. On arrival, Japanese immigration officers will verify your visa details through their system and issue a landing permit for your authorized stay (typically up to 90 days). Applicants must ensure that the information entered during the e-Visa process matches exactly with the invitation and passport details, as any discrepancies may result in visa denial.
For now, Nepali citizens applying for business, meeting, or conference purposes must continue using the physical application system via VFS Japan Kathmandu, where documents like invitation letters, bank statements, business registrations, and guarantee letters must be submitted in person. The e-Visa platform is, however, an important step toward digitizing Japan’s visa policy, signaling that business visas could soon be available online.
