Required Supporting Documents for Hong Kong Business Visa for Nepalese Firms

Nepalese business owners and entrepreneurs planning to visit Hong Kong for meetings, conferences, trade fairs, or partnership discussions must apply for a Hong Kong Business Visa (officially called an “Entry for Visit—Business Purpose”). The Immigration Department of Hong Kong requires every applicant to submit specific supporting documents proving the genuine nature of their business activities, financial capacity, and intent to return to Nepal after the visit. Without complete documentation, the application may face delay or rejection, so firms are strongly advised to prepare all required papers before submission.

For a business visa from Nepal, applicants must submit the Application Form ID 1003A, and if they have a sponsor or business partner in Hong Kong, that partner must fill out Form ID 1003B. The applicant’s valid passport (minimum six-month validity from the date of entry) is mandatory, along with a recent passport-sized color photo in a white background. Additionally, applicants must include a cover letter on the company’s official letterhead clearly stating the purpose of the visit, duration of stay, type of meetings or trade activities to be attended, and who will bear the travel expenses.

Supporting business documents play a crucial role. The company must provide its registration certificate, PAN/VAT certificate, and recent tax clearance or return documents from Nepal. Evidence of business activity, such as import/export licenses, business invoices, product catalogs, or trade history, should also be included. A bank statement covering the last six months is required to prove that the firm or applicant has sufficient financial capacity to cover travel and stay costs in Hong Kong. For firms sponsoring employees, the company must include an employment verification letter and an authorization letter confirming the employee’s travel purpose.

If there is a host company or business partner in Hong Kong, additional documents must be submitted. These include an invitation letter addressed to the applicant or company, explaining the purpose of the meeting, nature of business cooperation, and expected duration of stay. The Hong Kong partner should also attach their Business Registration Certificate (BRC), company profile, and contact information. If hotel accommodation and transportation are arranged by the host, this should be clearly mentioned in the invitation letter.

Applicants must also provide their flight reservation, hotel booking, and a tentative business itinerary, showing the planned schedule of meetings or events. If attending a trade exhibition, the official exhibitor or visitor invitation and event registration proof must be attached. All documents must be in English or Chinese, and any Nepali-language document must be translated into English before submission.

When submitting the application, firms can either apply online via the Hong Kong Immigration Department’s portal or send all documents to the Receipt and Despatch Sub-unit, Immigration Headquarters, 61 Po Yap Road, Tseung Kwan O, New Territories, Hong Kong. Applications are usually processed within 2–4 weeks, depending on completeness and verification.

To make this process hassle-free, Yatra For Fun Pvt. Ltd., Nepal’s leading travel and visa support agency, helps businesses prepare every document professionally — including translation, notarization, and digital submission. Whether it’s for attending trade fairs, business meetings, or investment visits, Yatra For Fun ensures all Nepalese firms meet Hong Kong’s documentation standards.
